What we collect, and why
When you request a conversation. The booking form collects your name, email address, phone number, organisation and role, and your answers to the questions we publish in advance. We use this to decide whether we are a good fit for what you are facing, and to arrange the conversation. The legal basis is our legitimate interest in responding to enquiries, and taking steps at your request before entering an agreement.
When we speak. Conversations are recorded, and the basis depends on which one you booked.
The Opening Conversation, which is free, is recorded with your consent, so that anything made afterwards is drawn from what you actually said rather than from what we remembered. You can withdraw consent at any time, before or after, and we delete the recording. You can also decline recording altogether and we will work from written notes instead. Withdrawing does not affect anything done beforehand.
Commissioned work — a Future Draft, or a longer engagement — is always recorded, because the work cannot be produced without it. The legal basis there is performance of our agreement with you, not consent. If you would rather not be recorded, tell us before the work begins and we will say plainly what it changes about what we can deliver.
When more than one person is in the room. On engagements involving colleagues, the person arranging it gives us the names of those attending. They tell the room in advance that it will be recorded and why, and we say so again at the start before anything is recorded. Anyone present can ask for their contribution to be left out, or for recording to stop, without giving a reason.
When you buy something. For paid work we hold the billing details needed to raise and settle an invoice.
When you visit the site. Our website runs on Wix, which sets cookies necessary to make the site work and — where you allow it — cookies that measure how the site is used. You choose what to allow when you first visit, and you can change your choice at any time.
If you email us. We keep the correspondence so we can pick up where we left off.
We do not buy personal data, we do not sell it, and we do not add you to a mailing list because you booked a conversation.
How your conversation is handled
We would rather describe this plainly than summarise it, because it is the part that matters most.

The conversation is recorded on Parker Woodroof's own iPhone using Apple Voice Memos. That is the only way these conversations are ever recorded — one channel, deliberately, so there is one thing to protect. The file stays on a passcode-locked, encrypted device with cloud sync switched off, and is transcribed on Parker's own machine. If we meet on Zoom, Zoom carries the call and records nothing.
The transcript is then worked through with the assistance of Claude, an AI assistant made by Anthropic, on a business account. Under the commercial terms that apply to that account, Anthropic does not use our content to train its models.

Who hears it.
​
On most engagements Parker Woodroof is the only person who listens to the recording or reads the transcript.
Some work is delivered with an associate — most often Greenhouse Counseling & Coaching, a separate Dutch practice. Where that happens we tell you before the session rather than after, and you can ask for it to be Parker alone. An associate works under a written agreement with us, on our instructions only, under the same handling and deletion terms set out here, and never uses your material for their own purposes.

How long we keep it

Recordings and transcripts — if you commission nothing after a conversation, deleted within 30 days. If you commission work, deleted 30 days after it is delivered, or within six months if the work continues, after which they are deleted regardless. At your written request, sooner — within 14 days, at any point.

Future Drafts and the documents produced in a longer engagement — up to 5 years, with your permission, so that we can pick up where we left off if you come back to us. Withdraw that permission at any time and we delete them.

Booking records and enquiry correspondence — 3 years

Records we are legally required to keep, such as invoices and tax records — 7 years, as Dutch law requires

Who else is involved

We use a small number of service providers who process data on our behalf, under contract:

Wix — our website, booking system and forms

Google — calendar and email

Zoom — carries remote conversations; it does not record them

Anthropic — AI assistance with conversation transcripts, as described above

Greenhouse Counseling & Coaching — associate practice, on named engagements only

Some of these providers operate outside the European Economic Area. Where that happens, transfers are covered by the safeguards those providers have in place, including the European Commission's standard contractual clauses.

Your rights

Under the GDPR you can ask us to:

give you a copy of the personal data we hold about you

send it to you, or to someone else, in a portable format

If you think we have handled your data badly, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl). We would rather you told us first, but you do not have to.

Changes
​
If this notice changes materially we will update the date at the top. If a change affects a conversation already booked, we will tell you directly.
